The problem

A customer-intake and appointment process needed a more consistent path from an initial inquiry to a qualified, scheduled conversation. The workflow had to answer common questions, share pricing information at the right point, route edge cases appropriately, and avoid handing the team an incomplete appointment.

What I implemented

I designed and implemented an AI-powered lead-to-appointment workflow using Retell AI and Cal.com. The system was structured around the real operating process, not just the software configuration.
Key workflow components included:
Customer-intake conversation flow and qualification logic
Pricing-disclosure rules
Appointment scheduling through Cal.com
Escalation rules for cases requiring a human handoff
End-to-end testing and validation across the intake-to-scheduling journey

My role

I translated the business requirements into a practical workflow, mapped decision points and exceptions, configured the implementation, and tested the customer experience from first contact through booking.

Result

The finished system created a repeatable intake and appointment path with clear qualification, scheduling, and escalation logic. It gave the business a more structured foundation for handling inbound leads while preserving a route for human judgment when needed.
