The client ran an online health business where bookings, follow-ups, and customer communication were handled manually across a dozen different tools. The team was spending more time on admin than on clients.

The problem

Bookings managed manually across multiple calendars
Follow-ups falling through the cracks
Customer communication scattered across email, WhatsApp, and phone
No unified view of the customer journey
Meta ad spend with no conversion tracking back to actual bookings

What I built

The full operational backend, wired together:
Lead flow: new leads from Meta ads routed automatically into the CRM with source attribution
Appointment booking and rescheduling: Calendly integrated with GoHighLevel, synced in real time
WhatsApp automation: booking confirmations, reminders, follow-ups, and re-engagement sequences via Twilio and WhatsApp Business API
CRM sync: every interaction logged, every lead status updated automatically
Meta conversion tracking: Meta Conversions API configured so ad spend ties back to actual booked appointments, not just clicks
Support routing: incoming messages classified and routed to the right team member based on type and urgency
AI-assisted responses: OpenAI assistants handling common questions and pre-qualifying leads before human handoff

Result

A booking-to-follow-up pipeline running without manual work. The team went from juggling a dozen tools to operating from one system. Ad spend became measurable against real revenue, not vanity metrics.
