Sales Progression Automation for an Estate Agency

The problem

When a UK property sale is agreed, the work is not done. Someone has to chase the buyer's solicitor, the seller's solicitor, the mortgage broker, and the rest of the chain, week after week, until completion. In most agencies that is a person with a spreadsheet and a phone, and it eats hours every day. When the chasing slips, sales fall through.

What I built

An AI system that does the chasing itself. It:
Watches every active sale in the agency's pipeline and knows what stage each one is at
Reads incoming email and WhatsApp messages and works out what they mean for the transaction: searches back, enquiries raised, mortgage offer in, ready to exchange
Updates the record automatically, so the pipeline reflects reality without anyone typing
Drafts the chase messages to the right party at the right cadence, in the agency's tone
Flags the cases that genuinely need a human: a stuck chain, an unhappy buyer, a legal question

How it works

Claude sits at the centre as the reasoning layer. Around it: integrations into the agency's CRM, email, and WhatsApp Business, with every automated action logged and reviewable. Agents keep full override. The system handles the routine majority and escalates the exceptions.

The result

The progression workload that used to consume agent hours daily now runs in the background, and it is live in production at a UK agency today. The same pattern (read the inbox, understand the state, act, escalate exceptions) transfers to any business that runs on chasing people: lettings, brokerage, conveyancing, recruitment, B2B sales ops.
