The problem

A purchase order starts a chain of decisions. Someone has to read the PDF, match each line to a catalog item, check stock, buy what is missing, track shipments, and reconcile the invoices. When that information lives across inboxes and spreadsheets, an unresolved part number can hold up fulfillment, and the costs of an order are difficult to see while it is still open.

TechFoundry’s role

TechFoundry designed and built the application around the full order lifecycle. Zahid Hussain led engineering and architecture. The scope included the operations portal, document intake, catalog matching, purchasing and shipping workflows, permissions, and reporting.

What we built

1. Order intake and matching. An emailed purchase order becomes a structured record. The intake agent extracts the lines and validates the account. A rules-based engine checks the SAP equipment catalog and applies administrator-managed part mappings. Ambiguous lines stop in a conflict queue until someone links the right item.
2. Purchasing and fulfillment. Once an order is ready, IMS carries its line items and quantities into supplier orders. Staff can review proposed dates and scheduling warnings, then choose warehouse delivery or direct shipping. Packing-slip data is reused to create shipment records. For outbound shipments, the team can compare UPS rates, generate labels, and track boxes.
3. Approval and access. In the conversational workflow, the assistant prepares vendor orders, shipment records, and invoice entries for a user to review before applying them. Role-based permissions and tenant boundaries govern who can see records and make changes.
4. Reconciliation and reporting. IMS brings vendor and courier invoices back to the original order. Reviewers can compare ordered, received, and invoiced quantities, and see order margin as costs arrive. A second agent summarizes operational metrics and flags issues such as stock risks, supplier delays, and unusual courier spend.

What changed

The team can follow an order from intake through fulfillment and reconciliation in one place. Order details carry forward to purchasing and shipping, unresolved catalog items surface before fulfillment, and costs can be reviewed against the order as invoices arrive.

Watch the workflows

Agent overview. Follow one conversation from a purchase order through a vendor order, shipment, and invoice. The user reviews changes before applying them.
Catalog exception. See what happens when a part cannot be matched and how a reviewer resolves the conflict.
Invoice reconciliation. See ordered, received, and invoiced quantities side by side.

Technology

Next.js and React for the portal, Node.js services on AWS, PostgreSQL for operational data, and Claude for document interpretation and reporting. Email, PDF processing, and UPS integrations connect the workflow to the tools it depends on.
