This project involved building a complete lead management system inside monday.com (http://monday.com) to help a service-based business capture, organize, and track incoming leads from multiple sources in one centralized place. I designed a structured “Lead Tracking” board that automatically collects and organizes leads based on where they come from (Website, Yelp, Google, Contractors, Returning Clients, etc.), giving full visibility into lead sources and performance. Each lead includes essential data such as: • Contact details (phone & email) • Referral type (lead source) • Status tracking (New Lead, Follow-up, Quote Sent, Proposal Sent, etc.) • Notes and latest updates To eliminate manual data entry and speed up response time, I implemented automation using Make (Integromat), Gmail, and OpenAI. This allows new leads coming from email or external platforms to be automatically captured, structured, and added into the system without any manual input. I also built logic to: • Automatically create new leads from incoming emails • Update existing leads when new activity is detected • Route data intelligently based on conditions (new vs existing leads) The result is a streamlined lead pipeline where the business can clearly see: • Where leads are coming from • The current status of every lead • What actions need to be taken next This system helps reduce missed opportunities, improves follow-up consistency, and gives full control over the sales process. This type of setup is ideal for businesses that receive leads from multiple channels and want a clean, automated way to manage and convert them.

This project focused on building a structured deadline and task management system inside monday.com (http://monday.com) to help a growing team stay organized, track progress, and avoid bottlenecks across multiple projects. I designed a centralized “Project Deadlines” board where tasks are clearly organized by timeframes (This Week, Next Week, This Month, Future Tasks, and Completed). This allows the team to instantly see priorities and upcoming work without confusion. Each task includes key operational fields such as: • Assigned team member • Status (Not Started, In Progress, Stuck, Complete) • Start and due dates • Linked projects • Priority levels (Low, Medium, High) To improve accountability and visibility, I implemented automation logic that triggers alerts when tasks are marked as “Stuck,” ensuring issues are addressed immediately instead of delaying project timelines. This system transforms scattered task management into a clear, actionable workflow where the team always knows: • What needs to be done • Who is responsible • What is at risk The result is improved execution speed, better team coordination, and fewer missed deadlines. This type of setup is ideal for teams managing multiple projects who need clarity, accountability, and real-time tracking of progress.

This project was a full CRM and workflow automation system built inside monday.com (http://monday.com), designed to help a growing business manage leads, track projects, and automate internal processes from start to finish. I developed a complete lead tracking system that captures new inquiries from email and external sources, automatically creates structured entries, and organizes them by referral type (Website, Yelp, Contractors, Returning Clients, etc.). Each lead includes key information such as status, notes, follow-ups, and latest updates—giving full visibility into the sales pipeline. Beyond lead management, I designed a multi-stage project workflow that mirrors real business operations. Projects automatically move through stages like feasibility, design development, city submission, and construction—reducing manual work and ensuring nothing falls through the cracks. To power this system, I built advanced automations using Make (Integromat), monday.com (http://monday.com), and OpenAI. This includes: • Automatic lead capture from Gmail • Smart data parsing and structuring using AI • Conditional routing (create vs update workflows) • Status-based automations and notifications • Cross-board linking between leads and projects The result is a centralized, automated system that replaces manual tracking, improves response time, and gives the business complete control over both leads and ongoing projects. This kind of setup is ideal for service-based businesses that want to scale without losing organization or missing opportunities.

I designed and implemented an end-to-end lead management and automation system using Make (Integromat), Gmail, OpenAI, and Monday.com (http://Monday.com) to streamline how incoming leads are captured, processed, and tracked. The system automatically monitors incoming emails (including website inquiries and platform leads), extracts relevant lead data using AI, structures the information via JSON parsing, and creates organized entries inside a dedicated Lead Tracking board in Monday.com (http://Monday.com). To ensure scalability and accuracy, I implemented conditional routing logic to: • Check for existing leads before creating new entries • Prevent duplication • Automatically update or create records based on incoming data This solution transforms unstructured inbound communication into a clean, actionable CRM pipeline, allowing the client to clearly track lead sources, contact details, and status without manual input. The result is a fully automated workflow that reduces manual data entry, improves response efficiency, and creates a reliable system for managing and converting leads into projects. Tools used: Make (Integromat), Monday.com (http://Monday.com), Gmail, OpenAI (ChatGPT), JSON parsing
