Woodpecker Farm needed a booking system that could keep up with the people running it.
The operators of this equestrian farm in Woodford, Virginia are in their 60s and 70s. Their days are spent teaching, caring for horses, and moving around the property. Booking meant phone calls, handwritten notes, and finding time to follow up. They needed a complete management system that could fit into that working day, including access from their pocket.
I built their website and booking workflows in Lovable around the farm’s real quirks. A trail ride, a homeschool group, a boarding inquiry, and an academy lesson each require different information. Families may have several riders with different experience levels. Instructors need to consider the riders, available horses, and their own schedules before approving a request.
The system brings together trail rides, lessons, academy and homeschool programs, camps, boarding inquiries, horse shows, and events, alongside rider records, lesson management, and a family rider portal.
The demo follows a trail ride request from the customer form into the management dashboard. Families can suggest multiple dates, add individual riders, provide experience and safety information, and complete waiver acknowledgments. Staff can review the request, update its status, prepare an email, and review it before sending a secure payment link. Submitting a request never promises a confirmed ride.
Since launch, the farm reports going from about two inquiries every other week to 10–20 inquiries a week. The management tools give that increased interest an organized path toward a scheduled ride, with less information scattered across calls and paper.
The video also includes a clearly labeled simulation of a texting assistant designed for instructors working away from a computer. It previews rescheduling and approval from their phone, with instructor approval required before customer messages are sent. This portion is a prototype, not live texting.
I built this so the people running the farm can welcome more riders while keeping their attention on the horses and families in front of them.
