Managing a rental fleet can quickly become complicated when bookings, customer conversations, payments, vehicle availability, and returns are handled across different tools. For a small rental company, a typical workflow might look like: Customer inquiry → WhatsApp → Spreadsheet → Manual payment tracking → Pickup → Return → Inspection The problem isn't simply accepting bookings. It's keeping track of everything that happens around the booking. A vehicle can be reserved while appearing available. A deposit can be forgotten. A return can become overdue. A returned vehicle can sit unavailable because nobody has completed its inspection. I wanted to design a system that brought the entire rental lifecycle into one place. The Solution I created DriveFlow, an operations platform for a fictional Lagos-based rental company, ApexDrive Rentals. The core idea was simple: Every rental. One organized workflow.
DriveFlow connects the entire process: Search → Booking → Deposit → Pickup → Active Rental → Return → Inspection → Available Instead of forcing the owner to remember what needs to happen next, the system surfaces the information that requires attention. The Experience Customer Side Customers can:
Search available vehicles
Select rental dates
Compare vehicles
View vehicle details
See rental pricing
Reserve a vehicle
Pay a deposit
Receive booking confirmation The experience was intentionally kept simple: Where → When → Which vehicle → How much → Book. Owner Dashboard The owner gets a completely different experience. The dashboard focuses on the question: “What's happening with my fleet today?”
It surfaces:
Available vehicles
Active rentals
Pickups
Returns
Revenue
Unpaid deposits
Overdue rentals
Vehicles requiring inspection The Needs Attention section is particularly important. Instead of making the owner search through bookings, DriveFlow highlights things such as: Return overdue

Fleet Management: DriveFlow provides a centralized view of the entire fleet. Each vehicle can show:
Current status.
Current customer.
Rental rate.
Mileage.
Fuel level.
Current booking.
Next available date.
Inspection history.
Maintenance information This makes it easier to understand the state of the fleet at a glance. Rental Lifecycle: One of the main UX decisions was to make the rental lifecycle explicit. Before Reserved ↓ Pickup ↓ Active Rental ↓ Return ↓ Inspection ↓ Available The system updates the vehicle state as the rental progresses. For example: Active Rental → Customer returns vehicle → Inspection Required → Inspection completed → Available This prevents a returned vehicle from simply disappearing into the workflow. Vehicle Inspection: After a vehicle is returned, the owner can complete an inspection covering:
Mileage.
Fuel level.
Exterior condition.
Interior condition.
Accessories.
Damage notes Once completed, the vehicle can automatically return to the available fleet or be flagged for maintenance if an issue is discovered. Design Approach: I wanted DriveFlow to feel like a real operational product, not a generic car rental template. The customer experience uses a clean, premium visual direction. The owner application uses a more information-dense SaaS interface while maintaining clear hierarchy. The design focuses on:
Clear information hierarchy.
Fast scanning.
Strong status communication.
Consistent workflows.
Responsive layouts.
Minimal visual noise.
Action-oriented interfaces I deliberately avoided excessive gradients, unnecessary charts, decorative UI, and features that didn't contribute to the rental workflow. What I Focused: On The project wasn't about adding as many features as possible. It was about connecting the important ones. Booking ↓ Fleet availability ↓ Payment ↓ Pickup ↓ Rental ↓ Return ↓ Inspection ↓ Fleet availability again That connection is what makes DriveFlow useful. DriveFlow demonstrates how a traditional service business can move from fragmented manual processes to a connected digital workflow. Instead of simply building a car rental website, I designed a system that considers what happens before, during, and after the rental. The goal: Less manual coordination. Fewer missed details. Better visibility across the fleet. DriveFlow isn't just a booking interface. It's a complete rental workflow designed around how the business actually operates. Every rental. One organized workflow.
