The Solution I engineered a conversational receptionist deployed directly via the WhatsApp Business API. The system utilizes Voiceflow to navigate patient intake, capturing essential data such as procedure type and insurance status. Once qualified, the agent queries the Calendly API to fetch real-time availability, allowing patients to select time slots and receive automated confirmations within the chat interface.
The Business Impact The automated pipeline successfully handles 50 to 80 patient interactions daily with zero human intervention. By absorbing the entirety of routine scheduling, the system recovered approximately four hours of administrative time per day for the front desk staff, allowing them to focus strictly on in-clinic patient care.
