Luma Skin & Wellness — From Missed Inquiries to Automated Customer Journeys
The problem
Luma Skin & Wellness is a busy appointment-based studio where the customer journey doesn't end when someone sends an inquiry.
A new message needs a response. A booking request needs a slot. A cancelled appointment may need to trigger the waitlist. A no-show needs follow-up.
A completed appointment creates an opportunity for a review. The problem is that these things are easy to miss when the owner is busy running the business. And there was another problem: customer activity and marketing were getting mixed together. A business shouldn't have to wait for its next promotional post to notice that a customer needs attention. What I designed I created LocalFlow for Luma Skin & Wellness — an automation system designed around one simple idea: Your business should react to customers, not wait for you to check.
LocalFlow continuously watches for important customer events and turns them into actions. A new inquiry can trigger an AI-assisted response. A booking request can move into a live availability flow. A selected appointment can be temporarily held for 30 minutes, giving the customer time to complete the required deposit. If payment isn't completed, the hold expires and the slot becomes available again. A cancellation can trigger a waitlist check. A no-show can trigger a rescheduling workflow. A completed appointment can trigger a review request. The important design decision I deliberately separated customer operations from promotional marketing. The customer-monitoring engine runs independently, so the business can react to new activity every day. The promotional engine can run on its own schedule. That means a quiet marketing day doesn't become a day where customer inquiries are ignored. The experience The owner gets one place to see: New inquiry → AI response → Lead → Booking → Deposit → Confirmation → Reminder → Appointment → Follow-up Instead of checking multiple places and remembering what needs to happen next, the system turns customer events into an actionable workflow.
