As Volunteer Coordinator for Wawa Welcome America, I independently managed the organization, scheduling, communication, and deployment of approximately 140 volunteers across multiple events and locations throughout Philadelphia.
Because I was the sole operator overseeing the volunteer function, organization was essential. I created structured schedules, assigned volunteers by role and shift, communicated event instructions and meeting locations, maintained volunteer records, and ensured each event had appropriate coverage.

The Challenge — Managing 140 People Coordinating a large volunteer workforce across different dates, venues, shifts, and responsibilities required a centralized system. One missed assignment or unclear instruction could create coverage gaps at a live event.
Building the System I developed detailed volunteer schedules that organized people by event, date, shift, assignment, start/end time, and location. Roles included information booths, roaming support, giveaways, activities, event setup, and other operational needs.
Communication & Onboarding I served as the primary point of contact for volunteers, distributing welcome information, orientation details, schedules, meeting locations, expectations, and event-specific instructions.
Managing Multiple Events Volunteer coverage supported several Philadelphia events including Go 4th & Learn, Philly @ the Movies, Wawa Hoagie Day, museum programming, and July 4th festivities.
Real-Time Coordination The schedules weren’t simply administrative documents—they functioned as operational tools. I could identify available coverage, gaps, assignments, shift overlaps, and where volunteers needed to report.
The Result Approximately 140 volunteers were organized into one coordinated workforce, giving event teams reliable support while helping volunteers understand exactly where they belonged and what was expected of them.
