Cold Email Automation System for a 40K-Company Outreach Campaign A Malaysian recruitment agency needed to reach 40,000 companies but was doing it manually with no automation, no follow-ups, and no tracking. I built them a complete outreach system instead of selling them an off-the-shelf SaaS tool.

The system imports and cleans 40K company records from Excel, writes a unique AI-personalized email for every company (not a template), and schedules sends per industry with human-like timing randomization. It rotates 3 warmed-up Gmail mailboxes to send 1,500+ emails a day, runs automatic Day 3 / 8 / 14 follow-up sequences threaded into the same Gmail conversation, and stops a sequence instantly on bounce or reply. Everything reports into a live dashboard tracking reply rate, bounce rate, and per-mailbox performance.

Commercial tools like Instantly ($358/mo), Smartlead ($144/mo), and lemlist ($159/mo) would have cost far more. This ran at $50/month plus a one-time $200 setup and saving the client $1,700–$4,000 a year. Within 24 hours of going live, it landed a positive reply from one of Malaysia's biggest F&B chains, requesting a full proposal.
