This project was a full CRM and workflow automation system built inside monday.com, designed to help a growing business manage leads, track projects, and automate internal processes from start to finish.
I developed a complete lead tracking system that captures new inquiries from email and external sources, automatically creates structured entries, and organizes them by referral type (Website, Yelp, Contractors, Returning Clients, etc.). Each lead includes key information such as status, notes, follow-ups, and latest updates—giving full visibility into the sales pipeline.
Beyond lead management, I designed a multi-stage project workflow that mirrors real business operations. Projects automatically move through stages like feasibility, design development, city submission, and construction—reducing manual work and ensuring nothing falls through the cracks.
To power this system, I built advanced automations using Make (Integromat), monday.com, and OpenAI. This includes: • Automatic lead capture from Gmail • Smart data parsing and structuring using AI • Conditional routing (create vs update workflows) • Status-based automations and notifications • Cross-board linking between leads and projects
The result is a centralized, automated system that replaces manual tracking, improves response time, and gives the business complete control over both leads and ongoing projects.
