Universal AI Email Assistant | n8n Automation
A multilingual AI email automation system that classifies incoming emails, generates context-aware replies, requests human approval via Telegram, and stores key customer data automatically.
Universal AI Email Assistant
I designed and built a complete AI-powered email automation system using n8n to help businesses manage incoming emails faster while keeping humans in control of every important response.
The Problem
Businesses receive different types of emails every day: customer inquiries, existing client requests, partnerships, service offers, administrative messages, and spam.
Manually reading, categorizing, prioritizing, and replying to every message takes significant time — especially when customers communicate in multiple languages.
The Solution
I built a Universal AI Email Assistant that automatically processes incoming emails and uses AI to understand the message before preparing an appropriate response.
The system can:
• Detect the sender’s language automatically
• Classify emails by category and sender type
• Identify intent, priority, and urgency
• Determine whether a response is required
• Generate a context-aware reply in the same language
• Send the proposed reply to Telegram for human review
• Allow the user to Approve or Reject the AI-generated response
• Request corrections when a response is rejected
• Present the revised response for final approval
• Send the email only after approval
• Store important email and customer information in a CRM
Human-in-the-Loop Approval
One of the key features of the system is that AI does not have uncontrolled access to outgoing communication.
The workflow prepares the response, but the user remains in control.
Email → AI Analysis → AI Draft → Telegram Review → Approve / Reject → Send
If the draft is rejected, the user can provide corrections or additional information. The system generates a revised version and returns it for final approval before anything is sent.
Multilingual Communication
The assistant is designed for international businesses and can automatically detect and respond in multiple languages, including:
Arabic • English • French • Russian • Ukrainian • Dutch
CRM Integration
Important information extracted from incoming emails can automatically be stored in a structured CRM, including language, category, sender type, priority, urgency, subject, summary, and follow-up information.
