About this service

Summary

I’ll help you analyze your current business workflows, identify where automation can save time or reduce errors, and then set everything up using tools like Make, Zapier, or n8n. This involves joining your team’s day-to-day processes to see what needs improvement, creating a plan with clear priorities, setting up a structured database, and integrating all the parts so they work seamlessly
I’ll also test everything, provide detailed documentation on how it works, and stay available for any updates or fixes you might need in the future.

Process

1. Initial Consultation
Purpose: To understand your goals, pain points, and current workflows.
What I Do:
We communicate through the Contra platform or in writing to go over the details.
By asking targeted questions, I learn about the tools you currently use, your team structure, and your overall workflows.
We clarify your expectations, priorities, and the results you want to achieve.
2. In-Depth Audit
Purpose: To review your processes and identify where automation can save time or reduce errors.
What I Do:
For instance, I might join your marketing team’s Slack or WhatsApp group for 1–2 weeks to observe your workflows, current processes, and task distribution. Think of it like I’ve become a temporary member of your team.
I identify bottlenecks, repetitive manual tasks, and stages prone to error from both a technical and operational perspective.
I document all findings to create my initial assessment.
3. Workflow Audit & Plan
Purpose: To provide a complete evaluation of your current situation and an action plan—prioritized for automation—step by step.
What I Do:
Using the data gathered during the In-Depth Audit, I prepare a “Workflow Audit & Plan” in Figjam.
I specify how suitable each process is for automation, the expected benefits (like time and cost savings), and the tools to be used.
I invite you to Figjam so we can jointly decide which automations should take priority based on costs and budget alignment.
4. Implementation Plan
Purpose: To decide which tools (Make, Zapier, n8n, etc.) to use, set priorities, and outline the implementation plan step by step.
What I Do:
We evaluate how the processes suitable for automation rank in importance and how they fit within the budget.
We select the automations you find appropriate and, if necessary, postpone some for a later date.
We determine the best tools for each workflow and create a timeline for implementation.
5. Database System Setup
Purpose: To create or enhance a structured database so your data can be stored correctly and systematically.
What I Do:
We choose a platform—such as Notion, Google Sheets, or Airtable—based on your preference or compatibility with your existing ecosystem.
I design the necessary tables, fields, and relationships to collect, track, segment, and report on relevant information.
I structure this database so it can be integrated with future automation steps and different automated workflows.
6. Workflow Setup and Testing
Purpose: To implement the selected automation scenarios, set up integrations among the chosen tools, and ensure stable operations.
What I Do:
I design automations that seamlessly integrate with apps like Slack, Notion, and Gmail.
I convert your manual processes into automated ones, then test them under various scenarios, fix any errors, and optimize performance.
Throughout the testing phase, I gather feedback from you to continuously improve the process.
7. Detailed Documentation & Guide
Purpose: To provide a clear handbook that explains the setup and management phases of the automation, so you have a quick reference whenever you need it.
What I Do:
I prepare a detailed document that covers the purpose, working principles, and points to watch out for in each workflow I set up.
8. Ongoing Support and Adjustments
Purpose: To maintain the efficiency of the automation over time, make updates in line with new needs, and quickly resolve any issues.
What I Do:
During the project or subscription period, I monitor the workflows we’ve set up and gather feedback regularly.
When there are new requests or process changes, I revise existing automations or add new workflows as needed.

FAQs

  • How long is the commitment?

You can subscribe for as little as one month, extending as needed for continued support.

  • Which tools do you specialize in?

My primary automation platforms are Make, Zapier, and n8n. These platforms support a wide range of apps so I can work with nearly any service you need. If the app you use isn’t directly supported by the platform, we can still integrate it as long as it offers API access.

  • Is my data secure?

Absolutely. In some situations, I may need temporary access to your accounts. Once we're done, I'll sign out and won’t store your passwords. I also do not retain or share your company information after the project ends.

  • What if I only need a few workflows?

You can explore my other service that focuses on individual or pre-built automations. However, this monthly subscription is best if you want me to review, test, and manage your entire workflow in a more comprehensive way.
