Turn your approved client onboarding process into a connected, reliable system.
Client Onboarding System Implementation is designed for established small businesses and professional-service teams that already know how they want new clients to be onboarded but need the systems, workflows, automations, and internal handoffs built and connected.
The goal is to create a consistent onboarding experience—from completed agreement and payment through the handoff into service delivery—while reducing missed steps, repetitive work, and disconnected information.
Included:
Review and documentation of the client's approved onboarding process
Configuration of agreed onboarding stages, forms, fields, client records, and statuses
Setup of approved emails, text messages, instructions, and reminders using client-provided content
Internal tasks, notifications, responsibilities, and handoffs
Automations and integrations across the systems identified in the approved scope
Configuration of an agreed onboarding project structure or service-delivery handoff
End-to-end testing using approved sample information
Corrections to implementation errors within the approved scope
Written instructions and one recorded walkthrough
One reasonable revision round
Up to five business days of written transition support for clarification and in-scope corrections
Not included:
Designing the client's onboarding strategy or customer experience
Writing client-facing communications or establishing business policies
Creating the client's agreement or payment terms
Major data migration or cleanup unless specifically included in the proposal
Custom software development or unrelated workflows
Ongoing administration, maintenance, or open-ended support
New features or additional systems outside the approved scope
Client responsibilities:
Before implementation begins, the client must provide an approved onboarding sequence, established agreement and payment process, final client-facing content, business rules, system access, and sample testing information.
The client must also identify one primary decision-maker, confirm team responsibilities, and provide timely feedback and approvals.
Timeline and scope:
Implementation typically takes approximately four weeks after all required information, access, and approvals are received, followed by a transition period of up to five business days.
The exact systems, communications, automations, stages, testing requirements, deliverables, and final fixed price are confirmed in the approved proposal.
This is a defined implementation project, not an ongoing operations-management or virtual-assistant service.
