The Project Scope The Problem: The client had leads pouring in from Facebook Forms, Messenger, SMS, and Email, but their follow-up was disjointed. They were using static templates that couldn't answer specific questions, leading to a massive drop-off rate. They needed a system that could handle "messy" human responses and operate 24/7 across all platforms simultaneously.
The Solution: I engineered a "Spiderweb" workflow that serves as a unified command center. Instead of five separate automations, I built one master logic flow.
The Architecture: I utilized parallel triggers to funnel all traffic—regardless of source—into a single AI processing lane.
The Intelligence: I integrated a custom-trained ChatGPT prompt at every communication node. The system reads the incoming message, determines the sentiment and intent, and generates a contextually accurate response in real-time.
The Safety Net: I built extensive "If/Else" conditional branches. If a lead replies, the AI continues the chat. If they ghost, the system enters a "Looping Nurture" phase to re-engage them gently, ensuring no lead slips through the cracks.

Objective: Unification of communication streams. The Build: 5-Point Trigger System: Configured entry points for Call Status, Chat/SMS, Inbound Email, FB Lead Forms, and FB Messenger. Source Tagging Logic: Implemented hidden tagging steps to label leads by origin (e.g., "Source: FB_Ad_v1"), allowing the AI to know where the user is coming from and adjust its tone accordingly.
Human-like conversation capability.
The Build: Custom Prompt Engineering: I wrote and tested the "System Prompt" (the instructions given to ChatGPT) to ensure it acts as a helpful, knowledgeable consultant rather than a generic bot. I restricted it from hallucinating fake prices or promises. Context Awareness Nodes: Look at the workflow map — notice the repeated "Send Prompt to ChatGPT" steps. I configured these to carry over the previous message history so the bot remembers what was just said. Latency Management: Added strategic "Wait" steps to mimic natural human typing speed, preventing the "instant bot" feeling that kills trust.
