BEST FOR
Teams preparing to move from one CRM to another, consolidate a legacy account, or rebuild automations without carrying hidden data and workflow failures into the destination.
This service is designed for migrations involving platforms such as Keap, Ontraport, GoHighLevel, HubSpot, and connected WordPress, LMS, membership, ecommerce, payment, reporting, Zapier, or API dependencies. Platform fit is confirmed before the project begins.
WHAT'S INCLUDED
• One kickoff session for goals, constraints, owners, and migration boundaries • One primary source CRM and one target CRM • Inventory of the two CRM environments and up to three critical connected systems • Semantic mapping workbook for up to 50 agreed critical fields, tags, lists, stages, statuses, products, or lifecycle elements • Canonical identity, duplicate, merge, conflict, and missing-data rules • Dependency and workflow reconstruction map for up to five critical journeys • Representative pilot-sample and validation plan • Freeze-window, delta, activation-order, rollback, and stabilization decisions • Source/transformed/imported/rejected/duplicate reconciliation checklist • Risk register with severity, owner, disposition, and escalation path • Implementation sequence with scope boundaries and acceptance tests • Recorded walkthrough or written handoff • One follow-up clarification round
CLIENT INPUTS
• Source and target CRM names, subscription tiers, and intended go-live window • Approximate record volume, object types, active users, and retention requirements • Current exports, field dictionaries, tag/list/stage definitions, workflow inventory, or approved read-only access • Redacted representative records covering the important lifecycle states • The five highest-risk journeys and the expected behavior for each • Named operational approver and owners for data, automation, access, and reporting decisions • Known compliance, consent, deletion, regional, or contractual constraints to route to the client's qualified advisers
Do not send passwords, API keys, one-time codes, tax data, or unnecessary personal records through chat. Access must use an approved secure method and the least privilege needed for the agreed review.
NOT INCLUDED
• Live source export, data transformation, import, or cutover execution • Production CRM configuration or workflow reconstruction • Historical cleansing, enrichment, deduplication execution, or manual record correction • Custom code, middleware, API development, or third-party integration changes • Email/SMS copywriting, campaign strategy, deliverability remediation, or ad-platform work • Software subscriptions, message fees, data-provider fees, or third-party vendor charges • Legal, privacy, security, tax, retention, or regulatory advice • More than one source CRM, one target CRM, three connected systems, five critical journeys, or 50 mapped elements • Emergency response, 24/7 coverage, guaranteed zero downtime, or a zero-risk migration promise
Any execution phase is quoted separately after the blueprint establishes the real scope, dependencies, data condition, test burden, and cutover risk.
DELIVERY & ACCEPTANCE
The seven-day delivery clock begins after the agreed inputs, safe access, representative samples, and stakeholder answers are complete. Client-caused access or decision delays pause the schedule.
Delivery is accepted against the listed planning artifacts and agreed scope. This service produces a controlled, implementation-ready migration blueprint; it does not promise that every source record is valid, every platform supports the same behavior, or a future migration will have zero exceptions.
RELATED WORK
