I’m QBOA-certified and work cloud-only. Desktop files break remote collaboration and leave owners one hard-drive failure from a rebuild.
The mistake: treating QBO like a checkbook. Bank feeds aren’t controls.
Five failure modes I see repeatedly:
1. Chart of accounts sprawl (200+ when 60–80 would do)
2. No class/location discipline
3. Payroll & sales tax bolted on late
4. Receipts in email, not attached
5. Year-end adjustments with no review trail
What works:
• Bank rules for high-volume, low-judgment items — human review for revenue, contractor vs employee, material amounts
• Reconcile every balance-sheet account monthly (not just the bank)
• Soft-close periods after review
• Track 1099 payees all year — January archaeology costs more than the subscription
Month-end checklist: bank/CC ties, AR/AP aged, payroll liabilities explained, prepaid/accruals updated, P&L + BS vs prior month/budget, soft close. Teams that finish in ~5 business days spend tax season on strategy, not reconstruction.
QBO is powerful when the process around it is boring and consistent. That boredom is the point.
