This AI outbound pipeline handles 80+ leads a day, and it takes under 20 minutes of ops work a week to run.

Version one handled 30 to 50, and someone had to keep an eye on it.

The first version proved AI-written outreach could work for this SaaS revenue team. It also broke on bad lead data, and when an API call failed, nothing retried it. Nothing was logged either, so crashes went unnoticed.

We rebuilt it in n8n. Each lead's fields get validated and the lead is enriched with RSS data before GPT-4o-mini sees it. Model calls retry when they fail and switch to a fallback if they keep failing. The output is checked before anything goes out through Gmail. Every run is logged, and an error workflow alerts the team the moment a step breaks.

What changed: • 80+ leads a day, up from 30 to 50 • 0% invalid records reaching the AI • Failures detected in under 30 seconds • Under 20 minutes of ops work a week

GPT-4o-mini is one step out of six in this pipeline. Most of the engineering went into the other five.
