ChairPilot — From Inquiry to Booked Chair, Automatically 🦷
A patient messages a dental clinic: “Can I book a whitening appointment this week?”
It sounds like a simple question.
But for a busy clinic, someone still has to figure out which dentist can perform the treatment, check working hours and lunch breaks, look for an available chair, confirm the time, send the patient the details, update the calendar, schedule reminders — and then do it all again if the patient needs to reschedule.
And when somebody cancels at the last minute, that empty chair can easily become lost time.
That is the problem I wanted to solve.
I built ChairPilot with @Lovable for Soma Dental Studio, a fictional three-dentist clinic in Phnom Penh, Cambodia.
Soma Dental has different dentists for general, cosmetic and orthodontic care. Each dentist has different working days, breaks, treatment eligibility and availability. The clinic also has to deal with rescheduling, reminders and last-minute cancellations.
The problem I solved in one line:
ChairPilot turns “Can I book?” into “You’re booked” by automating dentist matching, real availability, confirmations, calendar updates and cancellation recovery — so clinic staff only handle the exceptions.
Instead of sending messages back and forth, the patient chooses what they need and ChairPilot does the scheduling work behind the scenes.
It can:
match the treatment with qualified dentists
calculate real availability from working hours, breaks, time off, existing bookings and treatment duration
recheck the slot before confirmation to prevent double booking
send real Gmail confirmations and reminders
synchronize appointments with Google Calendar
let patients reschedule or cancel themselves
surface only the issues that actually need staff attention
use Smart Slot Rescue to match a cancelled chair with compatible patients on the waitlist
One of the parts I cared most about was making this feel like a real operational system rather than a booking-page mockup.
I tested competing booking requests for the same slot, hardened appointment state changes, connected real Gmail and Google Calendar workflows, tested cancellation and rescheduling, and built a secure public challenge mode so judges can explore the admin experience without being able to modify Soma Dental's clinic data.
The before
A patient asks for an appointment. Staff check the treatment, dentist, schedule and availability manually. They message times back and forth. Then they confirm it, add it to Calendar, send reminders, handle changes and chase another patient if the chair becomes empty.
The after
A patient chooses a treatment. ChairPilot → qualified dentist → real availability → confirmed booking → Gmail → Google Calendar → self-service changes → cancellation recovery.
The clinic staff step in only when ChairPilot identifies something that actually needs attention. That is the workflow I wanted to rebuild for this challenge.
