Südplatz Dermatology, Leipzig: patients book, confirm and reschedule without a single phone call, and every no-show slot refills itself from the waitlist.
The business: Dr. Clara Wendt took over her father's dermatology practice three months ago. Her phone line is jammed every morning, the skin cancer screening waitlist is four months long, and still one in eight patients doesn't show up. Her father works two afternoons a week, and many of his long-time patients only book by phone.
What I built:
Online booking in under a minute. Red-flag questions (a mole that changed) route patients to a small daily quota of priority slots. Routing, not diagnosis.
The practice sees every priority booking with its reason attached.
Phone mode, so staff book callers in the same system in about 20 seconds.
Reminders 48h ahead with one-click confirm, cancel or reschedule.
Every cancellation is offered to the next matching waitlist patient with a 2 hour window, cascading until the slot is filled. No offers at night.
German and English, down to every email, based on the language each patient booked in.
A "Needs your attention" list that is usually empty.

When the next patient in the waitlist cascade is one of the father's long-time patients who only book by phone, does the 2-hour offer go to staff to call them, or does it pass to the next patient who can accept online?

Great question, and honestly the edge case this setup is weakest on right now.
Today the offer goes out the same way for everyone. But every open offer also sits in the practice's "Needs your attention" list with its deadline and a "Record acceptance" button, so the team can call...
