Founders lose thousands of dollars because they forget to follow up.
But when I take over a Founder's inbox, I notice they hesitate to follow up because they don't want to feel "desperate" or "annoying." Following up is not chasing. It is professional persistence. As a Strategic Executive VA, here is the exact follow-up system I run for my clients:
Appropriate waiting time: Not 24 hours or two weeks. A waiting period of three to five business days is appropriate for most professional follow-ups. It's enough time to respect your audience's calendar and short enough to remain relevant.
Don't follow up blankly: Avoid "just checking in" phrases. Provide something link to an article, a brief update, a new bit of information. This gives your recipients a reason to open your follow-up besides knowing you are expecting a response.
Specific mention of the previous conversation: Instead of simply saying "following up on my previous email," you should make a specific reference like: "following up on the business proposal I sent out on Tuesday concerning your on boarding procedure." When you reference the specific discussion, it's evident that you're organized and engaged.
Make an easy choice for your prospects: A follow-up shouldn't require significant effort from the recipient. Replace "let me know if you're interested" with a concrete prompt like "I have a couple of slots open for next week-either Tuesday at 10am or Thursday at 2pm. Let me know which one is more convenient for you."
Know when to quit: If this is a cold pitch, it shouldn't be followed up on more than twice. Move on politely if you haven't received a response; an opportune scenario won't require relentless pursuit.
Professional follow-up is an art; when done correctly, it feels like expertise, not harassment.
