my family has been building homes in the bay area for 10 years. my dad started with a toyota prius .
until this year we ran the whole business on a project tool that cost $279/month, a pile of spreadsheets, and whatsapp groups where nothing could ever be found again.
leads went cold in inboxes. subs didn't show up. clients kept calling to ask what's going on with their own house.
so i built us our own app on @base44. the business runs on it every single day now.
some of what it does: • every lead from our ads lands in the app on its own, with a street view photo of the house already attached. if nobody picks it up, it keeps pinging us on whatsapp until someone does • my brother taps one button in telegram and the lead is his. the appointment goes on the schedule by itself • clients sign proposals from their phone. no account, no app to download, just a link. the second they sign, it creates the project, the job number, the payment schedule, and pushes the first invoice to quickbooks • the ai builds the entire construction schedule. framing rates, inspection wait days, it even adds buffer for rainy season • crews get tomorrow's schedule on whatsapp at 6pm. at 8:30 it tells me which sub hasn't confirmed yet, so no-shows die the night before • permits live in the app from application to final, and every inspection is tied to one. if an inspection fails it tracks the corrections and the re-inspection • subs have their own portal. they see work orders, request milestone payments, upload their insurance and w9, and it reminds them before their insurance expires • sub invoices hold retainage and track lien waivers on their own • every friday we pay all the subs in one batch that goes to quickbooks after one approval • clients get a live page every week. photos, what passed inspection, what's next, and a button to pay their milestone • site photos from the daily logs file themselves into the right project folder and attach to open tasks • clients can upload a photo of their kitchen and the ai shows them design options before we ever quote and there's a voice assistant. i say "schedule the framing inspection for thursday and tell the building channel" with dirty hands and it just does it. and it keeps a log of everything it did
the whole thing backs itself up to google drive every night
before: spreadsheets and chaos. after: one app, 4 portals, around 30 automations, and $3.4m of work running through it.
