AI Lead Qualification & Smart Follow-Up System An end-to-end AI automation that qualifies leads, scores buying intent, sends personalized responses, alerts sales teams about high-value prospects, and automatically follows up when leads don't respond.

Project overview I built an AI-powered lead qualification and follow-up system for a digital marketing agency using n8n.

The system handles the lead journey automatically from the moment a prospect submits an inquiry. It analyzes each lead based on budget, timeline, project clarity, and service fit, then generates a lead score and classifies the prospect as HOT, WARM, or COLD.

Every lead is automatically recorded in Google Sheets, while the prospect receives a personalized email based on their inquiry. When a high-value lead is detected, the business owner receives an immediate notification containing the lead's information and AI assessment.

The workflow also includes intelligent follow-up logic. After two days, it checks Gmail to determine whether the prospect has replied. If a reply exists, the automation stops. If there is no reply, a follow-up email is automatically sent.

This reduces repetitive lead-management work while helping businesses respond faster and avoid losing promising prospects. Real-life application Example: NovaRise Company Ltd

Kristy Williams from NovaRise Company Ltd submits an inquiry looking for Paid Advertising services. The company is launching an online store and needs Google and Meta advertising to generate sales.

Budget: $5,000–$10,000 Timeline: Within 1–2 weeks

The automation receives Kristy's inquiry and AI analyzes the opportunity. Her budget, short timeline, clear requirements, and strong service fit indicate high buying intent.

Her information and AI assessment are automatically stored in the lead database, and she receives a personalized response. If she qualifies as a HOT lead, the agency owner is immediately notified so the opportunity can be prioritized.

Two days later, the system checks whether Kristy has responded. If she has, no unnecessary follow-up is sent. If she hasn't, the system automatically follows up.
