This week I coordinated back-to-back meetings for a client across three different time zones. At first, their calendar was packed with calls that left no breathing room. It looked efficient on paper, but in practice, it was draining their energy and making it hard to focus on priorities.
I stepped in to restructure the schedule. Instead of cramming everything in, I created blocks for deep work, added short buffers between calls, and made sure travel time was accounted for so nothing overlapped. The result was a calendar that supported their productivity.
That’s the part of calendar management people don’t always see, it isn’t just about “booking meetings.” It’s about creating a rhythm that protects focus time and helps people perform at their best.
How do you usually protect your focus time when your calendar starts filling up?
