It's time to talk about "Documented Information," more commonly known as the ISO standards' unifying term.
Before 2015, the ISO 9001 standard spoke of "documents" and "records" as separate categories, each with its own clause. The 2015 revision merged them under one umbrella: documented information.
It splits into two purposes:
📄 Information to be maintained: living documents that get updated: Process sheets, procedures, instructions, policies, manuals.
📄 Information to be retained: fixed evidence of what happened: what we used to simply call "records."
Why the change? To move organizations away from rigid, paperwork-heavy compliance and toward a simple question: what documented information does MY organization actually need to run an effective management system?
Less bureaucracy, same accountability. But the confusion remains, so next time we'll talk about procedures, processes, and policies: how to write them and how to prepare them. Stay tuned!
