Every day involved testing, validation, spot checks, and reviewing edge cases before moving another batch.
One of the biggest challenges was preserving years of note history while working around GoHighLevel limitations on backdated note timestamps. Instead of ignoring the problem, we built a process to preserve the original dates and context inside the notes themselves.
Another challenge was making sure contacts, activities, notes, and related records stayed connected after migration. One broken relationship can make a CRM unreliable.
The work people see is the finished CRM.
The work they do not see is the planning, testing, QA checks, mapping logic, rollback planning, and hundreds of small decisions that make the migration successful.

Problem: Client lost 15 mins/file manually entering data, causing messy Google Drives, lost candidates, and missed legal risks.
Solution: Built an automated n8n + LLM pipeline that:
• Extracts Data: AI reads PDFs (CVs, invoices, contracts) to pull key metrics.
• Organizes Files: Auto-renames Drive files (e.g., [CV]-Name.pdf).
• Notion CRM: Syncs data to visual Kanban boards with risk tags.
• Slack Alerts: Pings teams about top candidates or high-risk terms.
Impact: Slashed processing to 15 seconds/file with 100% automated risk detection.
I'd have added the CRM buffer window on day one instead of after the first double-booking. Small process fix, but it would've saved an afternoon of cleanup.
