When a call is missed and nobody calls back, the job goes to the next shop on the list. This system catches every missed call and voicemail, logs the lead without duplicates, and follows up by email until the customer replies or you take over.
How it works:
Google Voice has no official API, so its missed-call and voicemail emails go to a Gmail inbox, and n8n reads them.
The lead goes to Housecall Pro if your plan includes API access (the MAX plan), otherwise to a Google Sheet.
Three emails go out: right away, after 2 days and after 5 days. They stop when the customer replies, opts out, or you mark the lead as handled.
A weekly digest shows new leads, emails sent, replies, failures and leads waiting for your approval. Nothing books an appointment on its own.
One honest limit: most missed callers leave a number, not an email. Emails only go to an address that was matched or confirmed. Every other lead is flagged "call back" at the top of your digest.
Price: $350 for a working demo on test accounts in 3 working days. Then $750 for the full setup: workflow exports, a config template for more shops, failure alerts, a pause switch, handoff docs and a recorded walkthrough, 7 to 8 working days in total. Each extra shop is $150. Optional support is $150 a month. On your side: n8n Cloud at about 24 EUR a month, or a $5 to $7 server.
Everything runs in your own accounts, and you can reuse it for your client shops.
See it work on a made-up shop, Acme Comfort HVAC: one week of missed calls, the sheet after each one, and all six workflows to download: https://flowlab-dev.github.io/demo/missed-call/
