Process

Audience Analysis: The first step in crafting a great speech is understanding the audience and the event. Who are they? Are they supportive, skeptical, or indifferent? Are they in a formal setting, or is it a more casual environment? From practical details like whether they’ll be sitting or standing, to their emotional state—such as whether they may be tired or hungry—understanding these elements is essential to tailoring a message that will truly resonate.
Purpose and Headline: Once I understand the audience, I dig into the purpose of the speech. What is the central message or headline we want the audience to walk away with? I consider why this speech is worth the speaker’s time and what story we want to tell. Almost every speech is about persuasion in some way, and my goal is always to get the audience to think differently or take action by the time the speech ends.
Establishing Structure: Next, I develop the overall structure of the speech. I often use Monroe’s Motivated Sequence—a widely used framework that helps build a logical and compelling argument. This includes grabbing the audience’s attention, clearly defining the problem, presenting our solution and why it’s the best option, painting a vision of the future with this solution in place, and ending with a strong call to action. The structure provides a roadmap to keep the speech engaging and focused.
Research and Content Gathering: Research is crucial to writing an impactful speech. This includes reading broadly and finding ways to enrich the argument with specific examples and relatable stories. I’ll research the audience, include shout-outs to attendees, and connect the message to their work. I also collaborate with the speaker to gather personal anecdotes and ensure that the speech’s goals are clearly aligned—whether that’s motivating the audience, announcing a new initiative, or celebrating accomplishments.
Creating an Outline: With the structure and research in place, I create a detailed outline to map out the flow of the speech. This outline helps refine the story we’re telling and ensures that the argument is coherent and compelling from start to finish.
Drafting and Revising: Once the outline is set, I start writing the first draft. Writing is an iterative process––good speeches come from rewriting and polishing until every element supports the overall message.
Read Aloud and Refine: Writing for the ear requires hearing how the speech sounds when spoken aloud. Reading the speech out loud helps ensure clarity, conciseness, and an engaging tone. Especially for policy-heavy topics, it’s crucial to make sure that the speech is understandable and impactful without oversimplifying complex ideas.
Adapting to Feedback: Lastly, I understand that the speechwriting process often involves input from multiple stakeholders. Whether it’s the speaker or various department heads providing feedback, I approach these revisions diplomatically, always keeping the speaker’s goals in mind. Flexibility is key, and I ensure that the final speech aligns with the principal’s vision while effectively communicating the intended message.
