An overall organization analysis starts with the people, aligning processes, and targeting success.



A three-stage approach to aligning your teams with the organization improves overall success.

Overview of Stages:

  1. Pre-work: Scoping
  2. Assessment
  3. Analysis/Drafting
  4. Revision/Approval

Pre-work: Scoping

The first stage can last from a few days to several weeks.

  • An initial client conversation is held.
  • This conversation will determine the timeline (aggressive or standard), Goals/expectations, logistics, and background for why this is being requested, how they got here, and why it is a priority?
  • Review information for insight/scoping and feedback.
  • Provide a project plan and draft of questions for the event and request information on availability for the scheduled event.
  • The client identifies the appropriate staff to participate in the event.
  • To be successful, the participating individuals are briefed on the overall purpose once selected. This should be limited to understanding what the information that they provide will do for the process/event.
  • To be the most effective, the leadership and individuals should review the questions and develop a preliminary list of job responsibilities by category.
  • The list will be reviewed and refined by leadership and provide a starting point for which questions can flow.

Assessment

The Assessment is held in a 2-8 hour session depending on group size and job complexity.

  • one-on-one sessions between selected individuals and myself

Note: Leadership should not be present as this should be a safe and candid space.

  • An agenda and ground rules are reviewed to ensure that everyone is comfortable and understands how we will proceed and the scope and goals of the assessment activity.
  • During the Assessment, the activity goes through the questions and develops, requesting insight. Near the end of the session, ask questions to understand the working environment and culture.
  • Wrap up an event with insights, expectations, and action items.

Analysis

  • Review notes and provides a preliminary summary for several debriefing meetings following the assessment activity.
  • A Debrief meeting should occur with the supervisor within 2-3 business days to ensure that the information provided accurately reflects an understanding of the position.
  • Based on the feedback from the debrief, draft revisions to the Position description based on the notes and feedback.

Revision/approval

  • Provided that all information has been collected and feedback obtained, I will draft a formal rewrite of the position description and preview it with the necessary leadership to ensure that it accurately reflects the team's abilities, qualifications, and goals.
  • If this is accepted, it will be sent for approval and posting. If not, it will go through several iterations until it is received.
    • Send a final report to all parties involved with a comparison to the original to depict the work and value.
